Privacy Policy for SentryDock

SentryDock, operated by Outside HQ LTD, is an AI Analyst that delivers real-time, personalized news based on your interests. We collect only the data necessary to operate the service effectively. Your privacy is a core priority, and you control your data.

1. What We Collect

We collect:

• Account Information: Your email, profile details and sign-in information handled by our authentication provider. Passwords and access tokens must not be sent in plugin prompts
• Tasks: Topics, names, or terms you choose to track
• Results: News surfaced for those tasks
• Plugin requests: News queries, filters, monitor instructions, source URLs and the settings needed for the action you request
• Connections and delivery: Authorization records, configured destinations, alert preferences and delivery receipts
• Usage Data: Account identifiers, request times, service errors and usage records needed for security, limits, billing and performance
• Website activity: Pages, searches, interactions, referral information, device and browser information, and sampled session replays collected by our website analytics

2. How We Use Your Data

We use your data to:

• Deliver relevant news updates
• Maintain your task and result history
• Improve product performance and accuracy
• Ensure the platform functions as expected

We share information with the providers needed to operate these features and with destinations you connect, as described below. We do not sell your account data. Our website also uses the advertising measurement tools described below.

3. Who receives data

Supabase provides our database and authentication, and Vercel hosts the website. Our production database is hosted in the United States. News acquisition providers fetch sources, OpenRouter and its model providers process search queries and relevant content for news analysis, and message delivery providers such as Resend deliver email. Billing providers process subscription and payment information on their own secure services.

When you use the SentryDock plugin in ChatGPT, Codex or another connected assistant, the assistant sends the inputs needed for your requested tool action and receives its results. Results can include news, monitors, alerts, delivery settings or account information, depending on the action. The plugin does not require your full conversation history or unrelated local files. The assistant provider handles information under its own privacy policy.

When you configure email, SMS, Slack, Teams, Discord or a webhook, relevant alerts are sent to that destination. Its provider and authorized recipients can see that information. Connecting a destination may enable continuing delivery until you disable it. Team features make information available to permitted team members. We may also disclose information where required by law.

The website uses Amplitude and Vercel Analytics to understand product use, including sampled session replays, and LinkedIn and Reddit tools to measure advertising. These website tools can receive browser identifiers, page and interaction information and referral data. Website analytics can include search terms and monitoring activity. This is separate from the plugin connection. You can use browser cookie and tracking controls and contact us about your data.

Connections use HTTPS. Supabase provides encryption for stored database data. Access is restricted through account authentication and permissions.

4. Retention and deletion

Account profiles, saved monitors, results, preferences and connection records remain while your account or the relevant item exists. They do not have a general time-based expiry. Deleting a monitor removes its linked results and run history from the active database. Account deletion removes the account and linked records when the deletion completes. Some team ownership or shared records can require support before an account can be removed.

Operational records have separate daily cleanup schedules:

• Scheduled job execution logs: 7 days; scheduler history: 14 days
• Source performance logs and analysis caches: 30 days
• AI usage records and processed source URL history: 60 days
• Monitor run history and source acquisition usage records: 90 days

These periods run from the record date, not from account deletion. Cleanup runs daily, so removal follows the next successful cleanup. Some linked records are removed earlier when their account or monitor is deleted. Team audit records do not currently have an automatic expiry; deleting the actor profile clears its account reference, but the audit event remains.

We keep daily database backups on a rolling schedule covering approximately one week. Deleting data from the active database does not immediately erase existing backups; those copies remain until the backup expires. Information already delivered to an assistant, email inbox or other external destination follows that recipient's retention and deletion controls. Contact us for help with a deletion request or records retained by a service provider.

5. Your Rights

You can:

• Delete any task or your full account at any time
• Disconnect the plugin in your assistant and revoke API keys in SentryDock settings
• Pause monitors and disable delivery separately; disconnecting an assistant alone does not stop saved monitors
• Contact us to request access, correction or deletion, or to raise a question about retained data

Some tools return your saved information, but there is no single account export in settings. Contact support for an access request.

6. Changes

If we make any significant updates to this policy, we'll notify you in-app or via email.

7. AI Analyst Disclaimer

SentryDock functions as an AI Analyst that processes publicly available information. The AI-generated insights, predictions, and analyses provided by the service are for informational purposes only and do not constitute professional advice of any kind, including but not limited to financial, legal, investment, or business advice.

SentryDock is not liable for any decisions made or actions taken based on information provided by the AI Analyst. Users are solely responsible for verifying information and making their own decisions. We strongly recommend consulting with qualified professionals before making any financial, investment, or business decisions.
